Troubleshooting

Step-by-step fixes for the issues people hit most.

Email isn't sending

  • Confirm the recipient address is correct and check their spam folder.
  • If you connected your own mailbox, make sure it's still authorized — reconnect it in Mail if the connection expired.
  • For invites, resend from Org settings → Members; a resend re-triggers delivery.
  • A scheduled send goes out on a two-minute sweep, so give it a couple of minutes before assuming it failed.
  • If nothing arrives across several addresses, contact support.

The bot didn't join a meeting

Start at Meetings → Connections — it's the one place that shows the state of every calendar and platform connection. Then match what you saw:

What happenedWhyFix
Stuck "waiting to be admitted"Waiting room or host approvalA host must admit the bot from the participant list.
Couldn't join the linkBad or expired meeting URLRe-paste the current link and send the bot again.
Joined late / partial transcriptSent after the call startedSend it before the call, or enable calendar auto-join.
Never dispatchedAuto-join off, or calendar not connectedConnect the calendar and enable auto-join, or send it manually.
The booking said "Extension"Capture was set to the browser extensionThat's deliberate — the bot stays away so you don't get two recorders. Switch the booking to the Noots bot if you want it.
"Too many bots"Your plan's concurrent bot limitFree runs one at a time, Team three. See Plans & billing.

A tab or button isn't there

  • It may belong to an extension that isn't installed or has been disabled — check Org settings → Extensions.
  • It may need a permission your role doesn't have. Org settings hides sections you can't use rather than greying them out.
  • It may be on a higher plan — locked features name the plan they need.
  • Extension surfaces can be scoped to particular divisions or teams, so a teammate may genuinely see something you don't.

The Timeline says something odd

  • A task in In Progress saying "no checklist to pace against" needs a checklist — ideally on its next milestone.
  • A task that won't leave a lane may be pinned there by someone dragging it. Clear the pin to resume automatic tracking.
  • A task marked Delayed despite an "on track" answer has a deadline that has already passed. A fact outranks an opinion.
  • A check-in answer stops counting after 10 days, after which automatic pacing takes over again.

Notifications won't clear

  • Open the bell and use Clear all — remember it deliberately leaves unread chat alone.
  • A stuck count usually belongs to somewhere you haven't opened; visiting it clears it.
  • Still stuck? Reload the app to resync.

Calendar or mail sync stopped

  • Connections expire — reconnect the account and grant the permissions it asks for.
  • Two-way calendar sync needs the right access; if events aren't flowing, reconnect and accept all of it.
  • Outlook mailboxes do a full pass each sync, so a very large mailbox takes longer than Gmail.

AI isn't doing anything

  • AI mail features are off until you turn them on, per person, in Mail → AI settings.
  • Autopilot is configured per project, not workspace-wide — open the Noot and check its header.
  • An admin can switch AI off for the whole workspace from Org settings → AI & Meetings.
  • Extraction from an email genuinely produces nothing when the email holds nothing actionable. That's the intended behaviour, not a failure.
